How does the Applicant Cleardown feature work?

In PeopleXD Recruitment, you can use the Applicant Cleardown feature to automate the removal or anonymisation of applicant details. This process runs nightly and targets closed vacancies with a closed date older than six or twelve months.

The Applicant Cleardown process doesn't apply to successful applicants, which includes:

  • Applicants who appear on the Successful Applicants screen because they were linked to a job offer and their status indicates the offer was accepted.

  • Applicants who were hired from the Successful Applicants screen and for whom an HR record has been created.

When an applicant is unsuccessful for a vacancy, the following actions apply:

  • Their application for that vacancy is deleted.

  • If they have other active applications, their applicant record and those other applications remain unchanged.

  • If they have no other active applications, their applicant record is also deleted.

Manage the Applicant Cleardown process

To manage the Applicant Cleardown process, watch the video or follow the steps below.

πŸ“ŒNote: This only works for vacancies with a Closed status and a closing date.

  1. From the dashboard menu, click Recruitment Dashboard.

  2. Click the Toolbox tab.

  3. From the My Recruit Toolbox widget, open Applicant Cleardown.

  4. From the Clear down data after drop-down menu, select the relevant option.

  5. Click OK.

This is the default setting. Applicant data is not cleared.

6 Months

When the nightly process runs, this clears down applicant data from vacancies with a close date of over 6 months ago.

12 Months

When the nightly process runs, this clears down applicant data from vacancies with a close date of over 12 months ago.
