Enable and manage the right to be forgotten feature in PeopleXD Recruitment

Steps you can take to enable and manage the right to be forgotten feature in PeopleXD Recruitment.

Written by James Pardy

The right to be forgotten (RTBF) feature in the Recruitment module lets you delete applicant data in line with data privacy regulations. To use it, your profile needs specific menu permissions.

Enable the RTBF option

To enable the RTBF option in the Recruitment toolbox, you need specific menu permissions added to your profile. Follow these steps:

  1. Add required menu permissions:

    • Navigate to the Security Dashboard, then click Menu Profiles.

    • Add the following menu options to the appropriate Recruitment menu profile:

      • Delete rtbf.

      • Get rtbf.

      • Recruitment - Right to be forgotten.

  2. After updating the menu profile, log out of PeopleXD and log back in.

  3. Verify the RTBF option. Navigate to the Recruitment Dashboard, then click Toolbox, then click My Recruit Toolbox. The 'Right To Be Forgotten' option should now be visible.

Report on RTBF deletions

Currently, PeopleXD does not provide a standard Insight view for reporting on applicants deleted via RTBF. However, the system keeps an internal audit record that includes:

  • Applicant number

  • Applicant name

  • Deletion date and time

  • User who performed the deletion

If you need to report on this data, ask your system administrator or technical team to create a custom Insight view to surface the audit information.
