Configure and manage onboarding email notifications in PeopleXD

Steps to turn your Daily (To-Do) and Weekly (Summary) onboarding emails on or off, and to check who receives them.

Written by James Pardy

Use the Notifications settings to choose whether your team receives the Daily (To-Do) and Weekly (Summary) onboarding emails. You can enable or disable each email separately, so you can match the reminders to your organisation's needs.

Configure the Daily and Weekly onboarding emails

Find both onboarding emails in the Notifications settings.

  1. Navigate to Social Hub Configuration, then click Notifications.

  2. Locate the Daily email labelled "To-Do" and the Weekly email labelled "Summary".

Enable or disable each notification to suit your organisation's needs.

Review the default email content

Both emails start with empty body placeholders, so you can write the content to suit your team. The default structure of each email is set out below.

  • Daily (To-Do) email:

    • Subject.

    • Greeting.

    • List of outstanding task descriptions.

    • Sign-off.

  • Weekly (Summary) email:

    • Subject.

    • Greeting.

    • Outstanding tasks.

    • New starters list.

    • Sign-off.

📌Note: These emails do not automatically include a direct link to the checklist. However, you can add directions or a link to the Social Hub when you compose the email body.

Understand who receives each email

Each email uses different recipient rules, so check them before you turn both on.

  • The Daily (To-Do) email is sent to individuals with outstanding tasks.

  • The Weekly (Summary) email is sent to anyone with incomplete items on the onboarding task list, not just new starters.

Avoid duplicate emails

Read this section before you enable both emails.

⚠️Important: If both the Daily and Weekly onboarding emails are enabled, the system sends both as separate processes with different content (Daily Activity vs Weekly Activity). Recipients may therefore receive both emails on the same day.

Customise and target the notifications

Decide which onboarding emails your organisation needs before you change the settings.

The Weekly (Summary) notification cannot be restricted to new joiners only, as it is designed to notify anyone with outstanding tasks. To make sure only new joiners receive emails, disable the Weekly (Summary) notification and enable only the new starters-specific notification.
